What a Malaysian business with this profile typically pays for monthly bookkeeping, based on published 2026 fee guides from Malaysian accounting firms (sources below).

That is RM 10,200 – RM 19,800 a year on bookkeeping alone — before annual tax filing (RM300–1,500) and, for a Sdn Bhd, statutory audit fees (RM2,500–8,000+).

Sorting the pile and keying each document into the ledger — the mechanical layer inside every bookkeeping fee. This is the layer BalanceNow automates, whoever holds the books — the firm doing them, or your own staff: AI keys in the documents, an accountant approves, and entries post into AutoCount or SQL Accounting.

How these estimates are calculated

Published 2026 Malaysian fee guides span a wide range — from about RM150/month for the simplest sole proprietor to RM800–1,000/month for a micro business, RM1,000–2,000 for a medium one, and RM3,000+ for busy SMEs. This calculator anchors to the mid-to-upper range of those guides, which reflects properly maintained books at a professional firm, and scales with document volume and how documents arrive — paper-heavy books cost more because someone has to digitise and sort them first.

The manual-work estimate assumes document sorting and key-in account for roughly 35–65% of bookkeeping effort depending on paper mix — based on our interviews with Malaysian accounting firms, who consistently describe capture and key-in as the biggest time layers. Staff-time mode assumes 5–7 minutes per document and a loaded junior rate of about RM25/hour (salary plus EPF/SOCSO) — supervision and rework time not included, so the real cost is usually higher.

Add annual tax filing (RM300–1,500) and, for a Sdn Bhd, statutory audit fees (RM2,500–8,000+ — estimate yours with the audit fee calculator) on top. Sources listed at the bottom of this page. The calculator above tailors these ranges to your exact profile.

Where do these fees come from? Mostly manual key-in hours — AI bookkeeping in Malaysia is changing that maths. And fees are not the only thing that moved in 2026: LHDN raised the e-Invoice exemption threshold to RM3 million from 1 September 2026, changing which businesses have to issue e-Invoices at all. And if you run a firm weighing these fees against headcount, see the maths of hiring another clerk vs automating the key-in.

What You Are Paying For

Every bookkeeping fee has three layers

Talk to enough Malaysian accounting firms and the same picture emerges. First, someone captures and sorts the documents — the shoebox, the WhatsApp photos, the email attachments. Second, someone keys each line into AutoCount, SQL Account or whichever ledger the business runs. Third — and only third — a senior reviews the accounting itself.

The first two layers are mechanical. They are also the reason fees climb with volume and paper: you are paying human hours to move information from paper into software. BalanceNow automates exactly those two layers — AI reads and keys in the documents, an accountant approves, and entries post directly into AutoCount or SQL Accounting. The judgment layer stays human, by design.

FAQ

Bookkeeping cost questions, answered straight

How much does bookkeeping cost in Malaysia in 2026?
Roughly RM800–1,000 a month for a micro business, RM1,000–2,000 for a medium one, RM3,000+ for busy SMEs. Only the simplest sole props start lower. Add annual tax filing (RM300–1,500) and, for a Sdn Bhd, audit fees (RM2,500–8,000+). The calculator above fits these ranges to your profile.
Why does a Sdn Bhd cost more to bookkeep than a sole proprietor?
Because the Companies Act 2016 demands more: proper double-entry records, financial statements, annual filings. Firms price that work higher than a simple enterprise, even at the same document volume.
Why do paper documents make bookkeeping more expensive?
Someone has to sort and digitise paper before any accounting happens. Firms we interviewed say capture and key-in eat more time than anything else. A shoebox of paper costs more to process than a folder of PDFs, and that cost lands in your fee.
How can a business or firm actually reduce this cost?
Cut the manual layer, keep the accounting. Review, reconciliation and advice are worth paying for. Key-in is not. BalanceNow reads supplier documents, keys them in, and posts approved entries into AutoCount and SQL Account — local versions included, first in Malaysia. Plans start under RM200 a month.
Is this calculator a quote?
No. It is a benchmark from published Malaysian fee guides, meant as a fair starting point for talking to your accountant. Every business differs.
