The Maths
One More Account Clerk, or Automate the Key-In?
One person handles about five to six full-set accounts. That is the ceiling every growing firm hits. Here is what breaking it costs — by hiring, by outsourcing, and by automating the keying.
The Real Cost
What a clerk costs in 2026
Salary data from Jobstreet and Indeed, September 2026. Employer EPF, SOCSO and EIS add roughly 15% on top.
| Role | Monthly salary | Loaded (≈ +15%) |
|---|---|---|
| Accounts clerk (national) | RM2,000 – RM2,800 | RM2,300 – RM3,220 |
| Accounts clerk (KL) | RM2,500 – RM2,800 | RM2,875 – RM3,220 |
| Full-set accounts executive | RM4,000 – RM6,500 | RM4,550 – RM7,400 |
Divide by the five-to-six book ceiling: roughly RM460 – RM1,200 per client book per month, before the laptop, the desk, annual leave, and the risk that they resign in March.
Where The Month Goes
What you are actually paying that salary for
Ask the firms. The clerk’s month is not spent on accounting. It is spent sorting the client’s pile, chasing missing documents, splitting a 30-page PDF, and keying lines one by one. The judgment work — review, reconciliation, advice — gets what is left.
That split matters, because the two halves have different answers. The judgment half deserves salary. The keying half is the part machines now do — and it is the half that fills the day.
Three Ways Past The Ceiling
Hire, outsource, or automate the keying
| Hire a clerk | Outsource the keying | AI key-in layer | |
|---|---|---|---|
| Monthly cost | RM2,300 – RM3,200 loaded | Per book, at market rates | Plans start under RM200 |
| Time to productive | 1–3 months to hire, then training | Days, plus back-and-forth forever | Setup within a day per book |
| Capacity added | ~5–6 books per hire | Scales, but every file leaves the firm | Existing team covers more books |
| When someone resigns | The knowledge walks out | Vendor risk instead | Learned account habits stay in the system |
| What it cannot do | Nothing — but you pay judgment rates for typing | Judgment, client trust, confidentiality comfort | Judgment. Your accountant still reviews and approves |
These are not exclusive. Most growing firms end up hiring for judgment and automating the keying — the mistake is hiring for keying.

BalanceNow reads client documents, keys them in, and posts approved entries into AutoCount and SQL Account — the local versions included. Your ledger does not change. Your team reviews everything. New to the category? Start with AI bookkeeping in Malaysia: the 2026 guide.

Questions
Hiring and automation FAQ
- How much does an account clerk cost in Malaysia in 2026?
- RM2,000–2,800 a month nationally, RM2,500–2,800 in KL (Jobstreet, September 2026). A full-set accounts executive runs RM4,000–6,500. Add roughly 15% for EPF, SOCSO and EIS to get the real monthly cost.
- How many full-set accounts can one person handle?
- Firm owners tell us five to six, comfortably. Simple books and good automation push it higher; paper-heavy clients pull it lower. Past the ceiling, quality slips before headcount catches up.
- What does "full set account" mean?
- The complete books for one company: purchases, sales, bank, ledger, through to trial balance and financial statements. When a job ad says "handle full set", it means one person owns everything for that company book.
- Does AI replace the account clerk?
- No. It removes the keying, not the person. The same clerk stops typing invoices line by line and starts reviewing what the AI prepared. Approval stays human — that is how BalanceNow is built, on purpose.
- When is hiring still the right answer?
- When the bottleneck is judgment, not typing: review capacity, client calls, advisory work, deadlines that need a decision-maker. Hire for those. Automate the part that is only keying.
- What does an AI key-in layer cost compared to a clerk?
- BalanceNow plans start under RM200 a month; a clerk costs RM2,300+ loaded. They are not equivalent — the AI only does the key-in layer, and your team still reviews and approves. That is exactly why the maths works: you pay salary for judgment, not typing.
