Why It Matters

The auditor is not the only one asking

Every firm plans for the audit. Fewer plan for the other request — the client who sends over a year of documents in whatever order they were found, then expects them back organised. One firm owner put it to us plainly: they can hand you a mess, but what they judge you on is what comes back.

Both problems have the same root. If a document is only findable by the person who filed it, in the folder they invented, then retrieval depends on memory and availability — and neither survives a resignation, a busy month-end, or seven years.

Keep the document with the entry

A file that lives in a folder is findable by whoever built the folder. A file attached to the entry it supports is findable by anyone, years later, including the auditor.

Keep it long enough

Malaysian tax law requires business records to be retained for seven years. Storage is cheap; reconstructing a year of a client’s supporting documents is not.

Make it findable by document, not by memory

The real test is not "do we have it" but "can a junior find it in a minute without asking the senior who filed it".

One place, not four

WhatsApp photos, an email folder, a scanner output folder and a physical box is four systems and four ways to lose a document. Firms that consolidate capture stop losing things.

Retention questions, answered straight

How long must Malaysian businesses keep accounting records?
Business records supporting a tax return must be kept for seven years — that is the retention period Malaysian firms plan around, and it applies to the supporting documents behind the entries, not just the ledger itself. Check the current LHDN guidance for your client’s specific situation.
Is a photo of an invoice acceptable, or do we need the original paper?
Malaysian firms overwhelmingly work from digital copies day to day, with the physical document retained by the client where required. The practical standard is that the copy is complete and legible, and that it can be tied to the entry it supports. Confirm the specific requirement for your client’s situation — this is a guide, not tax advice.
Our clients judge us on getting tidy files back. How do we handle that?
This is the part firms rarely say out loud: a client can forgive a slow month, but not receiving their documents back in a mess. Capturing every document once, at intake, and keeping it attached to the entry means the answer to "send me the invoice for that payment" is a search, not a store-room trip.

Not in bulk today — documents are retrieved per entry, which covers the common case of an auditor asking about a specific transaction. Bulk export of a client’s whole file set is a request firms have raised with us and it is on our list; ask us where it stands rather than assuming either way.
